Matter, Document, and Conflict Management

Case files, invention disclosures, drawings, prosecution history, and working drafts stay inside systems the firm controls. That is a confidentiality requirement before it is a convenience: unpublished invention material that reaches an uncontrolled destination can create novelty and export-control problems that cannot be undone.

One record per matter

Matters, clients, documents, correspondence, and billing are linked rather than kept in separate tools. Anyone picking up a file sees the filings, the deadlines, what was sent to the client, and what was billed, without reassembling the history from mailboxes and folders.

Access control and audit trail

Access is granted by role, and credentials are managed separately from the case data. Opening, exporting, and sending are all recorded, which is what makes it possible to answer later who saw a file and when.

Conflict screening

Party names are normalized with aliases and pinyin variants indexed, so a conflict is not missed because the same company appeared under a different transliteration or a former name. Screening runs in batch, results are flagged for human review, and the query snapshot is retained.

Confidentiality boundaries

Where AI assistance is used, it operates under enterprise agreements under which client data is not used for model training and is not retained for secondary purposes. Tools whose processing path would raise foreign filing license or export-control questions are reviewed before use, not after.

Common questions

Where are client files stored?

Inside systems the firm operates and controls. Case files, invention disclosures, drawings, prosecution history, and working drafts are not moved into general-purpose consumer services.

Can conflict screening handle Chinese company names?

Yes. The party index normalizes aliases and pinyin variants so the same entity is matched across different transliterations, English trade names, and former names. Matches are flagged for a person to confirm rather than cleared automatically.
